About this tool

The Meeting Planner converts a specific future moment from one timezone into many others at once. Instead of asking "what time is it now?", it answers "if I propose 3 PM London time on Thursday, when does that land for everyone else?"

It also suggests the best overlap windows — UTC hours when most of your selected cities fall inside typical working hours (9 AM to 5 PM local). This makes it ideal for scheduling cross-region meetings without offending colleagues with 2 AM calls.

How to use it

  1. 1Pick the source date and time, plus the source timezone.
  2. 2Add the target cities you want to convert into.
  3. 3Review the converted times — and check the "best overlap" section for any time slots that work for everyone.
  4. 4Copy the shareable link to send the meeting proposal to colleagues.

Common use cases

  • Proposing a meeting time across a distributed team
  • Planning a webinar or product launch worldwide
  • Coordinating a shared deadline (e.g. submission cutoff) across teams in different countries
  • Scheduling on-call handoffs between regional engineering teams
  • Booking interviews with candidates abroad

Frequently asked questions

How does it find the "best overlap" times?

It scans every UTC hour and counts how many of your selected zones fall within local working hours (9–17). The hours where the most cities overlap are presented as suggestions.

Can I plan a meeting across more than 5 timezones?

Yes — there is no hard limit. The interface stays readable up to about 8 cities, beyond which you may want to use the Timezone Overlap Finder for a denser grid view.

Will the link share work across browsers?

Yes. The URL fully encodes the date, source zone, and target zones. Anyone who opens it will see the same conversion regardless of their device.

What if a meeting time crosses midnight in one of the cities?

The tool displays the local date alongside the time, so participants know whether the meeting is on Tuesday or Wednesday in their location.
